Helix Systems LLC, doing business as 21Freight ("21Freight," "we," "us," or "our"), provides operational software for trucking carriers, including an email-triage and SMS-alerting service (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Information we collect

We collect information in the following ways:

• Account and contact information you or your company provide when engaging 21Freight's services, including name, phone number, and email address.
• Operational data from systems you connect to the Service, including email content and metadata from a connected mailbox (via Microsoft Outlook/Microsoft 365), and load/freight records from your transportation management system (e.g. LoadOps).
• Message data related to SMS alerts we send you and any replies you send back (e.g. reply commands such as YES, NO, WRONG, or STOP).

3. How we use information

We use the information above to:

• Triage and score inbound operational email for relevance to your business.
• Send SMS alerts about messages that require your attention.
• Process reply commands to improve future alert accuracy.
• Operate, maintain, and improve the Service.

To perform these functions, connected email content is processed by OpenAI's API for automated extraction and scoring, and SMS messages are sent and received through Twilio. These providers process data on our behalf and are not permitted to use it for their own independent purposes.

4. Mobile information and SMS/text messaging

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of information sharing described in this policy exclude text messaging originator opt-in data and consent — this information is not shared with any third parties, regardless of purpose.

Message frequency varies based on your account's alert activity — you will generally receive a message only when an email requires your attention.

5. How we share information

We do not sell your information. We share information only:

• With service providers who process data on our behalf (e.g. Microsoft Graph API for mailbox access, OpenAI for content scoring, Twilio for SMS delivery), under obligations consistent with this policy.
• As required by law, or to protect the rights, property, or safety of 21Freight, our clients, or others.

6. Data retention

We retain operational data, message logs, and alert history for as long as needed to provide the Service and for legitimate business purposes such as auditing and improving alert accuracy, or as required by law.

7. Your choices

• You may opt out of SMS alerts at any time by replying STOP.
• You may request access to, correction of, or deletion of your information by contacting heathgerrald@gmail.com.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above.
